Seeking an Executive Assistant that will provide administrative support to an Executive in the Music Industry. This key support role functions as a trusted team member responsible for day-to-day administrative and operational activities. This individual will possess exceptional communication skills, ensure seamless execution of priorities, and operate with autonomy.

What you'll do:

Provide administrative support for the Executive, coordinating meetings, scheduling, and setting up client/staff meetings, lunches, and heavy calendar management in a fast-paced creative environment

Proactively anticipates needs and identifies opportunities to optimize time and impact

Adapt quickly to "in the moment changes", ensuring continuous communication and coordination

Prepare for meetings — including agendas, briefings and follow-up actions

Responsible for booking travel, manage reservations, check-in for flights and be on standby when executive is traveling

Proactively organize and prioritize daily workload

Handle sensitive and confidential information with discretion

Assist with general office errands, support, and assist with various administrative tasks and projects as needed

Ad hoc projects and perform other duties as assigned.

Action oriented problem solver that operates in a calm, steadfast, and detail-oriented manner

Proficiency with digital collaboration tools (Microsoft 365, Teams, Zoom, Concur, etc.).

Ability to navigate within a complex global organization with flexibility and resilience

Demonstrated ability to manage confidential and sensitive information with sound judgment

Stay calm and centered during moments of high pressure while maintaining a sense of urgency

Prior music or entertainment industry experience supporting senior level executives preferred

The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. California Pay Range $80,000 — $100,000 USD
